Privacy Policy

This Privacy Policy explains how CJs Web Service, LLC ("we", "us") collects and uses information through this website and through our customer-facing systems for the TradeSchool Manager software. The Software itself is self-hosted on your WordPress site; the data your school enters into the Software lives on your server, not ours.

1. Two very different roles

It is important to understand the distinction between the two roles we play:

  • This website and our billing systems. When you visit tradeschoolmanager.com, purchase an add-on, or contact support, we (or our service providers) collect information directly from you. For that information, we are the data controller.
  • Your self-hosted installation. When a school installs the Software and stores student, parent, teacher, or applicant records in it, the school is the data controller. We do not have access to those records and we do not receive copies of them. Schools must publish their own privacy notice to the data subjects they serve.

2. Information we collect from website visitors and customers

  • Account / billing data: name, email address, billing address, country, VAT/GST identifier (where applicable), and Stripe-processed payment metadata. Collected by our merchant of record, Freemius, on our behalf. We never see your full card number.
  • Site / license data: the WordPress site URL where the Software is installed, the active plugin version, PHP and WordPress versions, and basic site environment data — reported by the Software for license validation and update delivery.
  • Support communications: the contents of email or contact-form messages you send us, including any attachments you choose to share.
  • Website analytics and logs: IP address, browser user-agent, referring URL, pages visited, and approximate location. Collected through standard web-server logs and any analytics service we configure (currently described in our Cookie Policy).

3. How we use that information

  • To provision your subscription, deliver license keys, and ship updates.
  • To process payments, renewals, refunds, and tax reporting through Freemius.
  • To provide customer support and respond to your messages.
  • To detect, prevent, and investigate fraud, abuse, and security incidents.
  • To comply with our legal and tax obligations.
  • To send infrequent transactional and product email (renewal notices, security advisories, important changes to the Software or these policies). We do not sell or rent your contact information.

4. Third-party processors

We rely on the following processors. Each operates under its own privacy policy.

  • Freemius, Inc. — merchant of record, subscription billing, licensing, refunds, tax. freemius.com/privacy
  • Stripe, Inc. — payment processing for the Invoicing & Contracts add-on, when your school connects its own Stripe account. stripe.com/privacy
  • Brevo (Sendinblue SAS) — transactional email delivery for plugin-generated emails when a school configures Brevo. brevo.com privacy
  • WordPress.org — hosts the free core plugin and may collect anonymous install statistics.
  • Google Fonts — web fonts on this marketing site. May log IP at request time. See our Cookie Policy.
  • Our web hosting provider — stores server logs and database backups for tradeschoolmanager.com.

5. What your school may store inside the Software

The Software is built to store records that schools need to operate, including but not limited to: student names, dates of birth, contact information, emergency contacts, parent / guardian contacts, demographics, programs and classes enrolled, attendance, grades and assignment scores, report cards and transcripts, completion certificates, tuition contracts and signatures (including IP, user-agent, timestamp), invoices, payment history, Stripe customer/charge identifiers, uploaded documents (such as ID, diploma, W-9), and audit logs of who accessed or modified each record.

All of that information is stored in the school's own WordPress database and (for uploads) in private files on the school's server. We do not receive copies and do not have access unless the school affirmatively shares it with us during support.

If you are a student, parent, applicant, or employee of a school that uses the Software and you have a question about the records the school keeps about you, please contact the school directly. We cannot access or modify those records on the school's behalf.

6. Legal bases (GDPR)

For visitors and customers in the European Economic Area, the United Kingdom, or other jurisdictions with similar law, we rely on the following legal bases:

  • Contract — to deliver the Software you purchased and provide support.
  • Legitimate interests — to operate, secure, and improve our website and product, and to communicate with customers about their accounts.
  • Legal obligation — to keep tax and billing records.
  • Consent — where we ask for it, such as optional analytics cookies.

7. Data retention

We retain billing and license records for as long as you have an active subscription and for up to seven (7) years afterward to comply with tax and audit obligations. Support emails are retained for up to three (3) years. Server logs are retained for up to 90 days. You may request deletion of personal data we control by emailing [email protected]; we will honor the request to the extent permitted by law (we cannot, for example, delete records we are required to keep for tax reporting).

8. Your rights

Depending on where you live, you may have the right to access, correct, port, restrict processing of, or delete personal information we hold about you, and to object to certain processing. To exercise any of these rights with respect to data we control, email [email protected]. We will respond within 30 days. To exercise rights over records held in your school's installation of the Software, contact the school.

9. Children's privacy

This website is intended for school administrators and educators — not children. We do not knowingly collect personal information from children through this site. The Software, however, is sold to schools that may use it for students under 13. In that case, the school is the operator under COPPA and is responsible for any required parental notice and consent.

10. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect the information we control. No system can be perfectly secure. See our Security page for additional detail and incident-handling commitments.

11. International transfers

We and our processors operate primarily in the United States. If you access our website or buy from us from outside the United States, your information will be transferred to and processed in the United States and other jurisdictions where we and our processors operate.

12. Changes to this Privacy Policy

We may update this policy from time to time. We will post the updated version here with a new "Last updated" date and, for material changes, notify customers by email.
